NetRent Property for Sale Enquiry Privacy Notice

Effective from: 1st August 2026

This notice explains how NetRent Ltd uses personal information when someone makes an enquiry about a property advertised through the Property for Sale section of the NetRent website.

It supplements the NetRent General Privacy Policy and should be read alongside our:

  • General Privacy Policy;
  • Terms and Conditions;
  • Website Disclaimer; and
  • Complaints Procedure.

Where this notice and the General Privacy Policy differ in relation to a Property for Sale enquiry, this specific notice will apply.

1. Who is responsible for your information?

NetRent Ltd is responsible for collecting, sending, receiving and administering the personal information submitted through the Property for Sale enquiry service.

These details are consistent with the corporate and contact information currently published on the NetRent website.

For the purposes of UK data protection law, NetRent is the data controller for its collection and use of the enquiry information described in this notice.

The person or business advertising the property—referred to in this notice as the property advertiser—will normally become a separate data controller when it receives the enquiry. The property advertiser may be the property owner, landlord, estate agent, letting agent or another person authorised to advertise the property.

2. Information we collect

When you make a Property for Sale enquiry, we collect:

  • your name;
  • your email address;
  • your telephone number;
  • the message you enter into the enquiry form;
  • the property address or listing reference connected with your enquiry;
  • the date and time of the enquiry; and
  • any subsequent correspondence or notes created if you contact NetRent, or if NetRent contacts you, about that enquiry.

Please do not include bank details, identity documents, payment information or unnecessary sensitive personal information in your message.

3. What happens to your enquiry?

When you submit the enquiry:

  1. your name, email address, telephone number and message are sent to the email address supplied by the property advertiser;
  2. a copy of the enquiry is received by NetRent;
  3. the property advertiser may contact you directly about the advertised property; and
  4. NetRent may contact you by email or live telephone call in connection with the administration or support of that enquiry.

The property advertiser, rather than NetRent, is responsible for answering questions about the property, arranging viewings, discussing offers and conducting any resulting sale.

4. NetRent’s service follow-up

NetRent may send you a brief service email or make a brief live telephone call after your enquiry.

The purposes of this contact may include:

  • thanking you for using the NetRent Property for Sale service;
  • confirming that your enquiry was sent to the property advertiser;
  • providing NetRent’s contact details;
  • checking whether you have experienced a delay or problem obtaining a response;
  • helping to resolve an enquiry-delivery problem;
  • receiving a concern about the property listing; or
  • explaining how to contact NetRent if you require assistance with that particular enquiry.
  • Answer any questions you might have about NetRent, this service or any Products or Services offered by NetRent.

NetRent would normally make no more than one initial service follow-up. Further contact will only take place where it is reasonably necessary to deal with a problem, complaint or concern, or where you ask NetRent to assist you.

This is not marketing contact

A service email or telephone call made under this notice will not promote:

  • landlord insurance;
  • buy-to-let mortgages or other finance;
  • NetRent newsletters;
  • paid NetRent products or services; or
  • products or services supplied by another organisation.

Submitting a property enquiry will not, by itself, subscribe you to a NetRent marketing list.

NetRent will not use the enquiry to ask marketing or lead-qualification questions, such as how many properties you own, whether you need a mortgage or insurance, or whether you intend to purchase other properties.

A genuinely factual and non-promotional service message is not treated as direct marketing. However, adding promotional content would change it into a marketing communication.

5. Why we use your information

NetRent uses the information because it is necessary for the legitimate interests of:

  • you, in sending an enquiry to the property advertiser and receiving a response;
  • the property advertiser, in receiving and responding to genuine enquiries; and
  • NetRent, in operating, supporting, monitoring and protecting the Property for Sale enquiry service.

NetRent’s legitimate interests include:

  • providing a reliable enquiry-delivery service;
  • confirming that enquiries have been processed;
  • helping where an advertiser has not responded;
  • investigating inaccurate, misleading or potentially fraudulent listings;
  • dealing with complaints or disputes;
  • protecting the security and proper operation of the website; and
  • keeping appropriate evidence of how the service has been used.

This processing is limited to what an enquirer would reasonably expect after asking NetRent to send a property enquiry. Legitimate interests can be appropriate where processing is reasonably expected, necessary, proportionate and has a limited effect on the person’s privacy. NetRent should document this assessment in a short legitimate interests assessment.

Where NetRent is required to use or disclose information to comply with a law, court order or regulatory requirement, the lawful basis will be compliance with a legal obligation.

6. Is providing the information compulsory?

You are not legally required to provide your name, email address or telephone number.

However, these details are required to use the Property for Sale enquiry service. NetRent cannot send an identifiable enquiry to the property advertiser without sufficient contact information for the advertiser to respond.

7. Who receives your information?

The property advertiser

The property advertiser will receive:

  • your name;
  • your email address;
  • your telephone number; and
  • your enquiry message.

The advertiser may use that information to:

  • respond to your questions;
  • telephone or email you about the advertised property;
  • arrange a viewing;
  • discuss an offer; or
  • progress a possible property transaction.

Advertisers are permitted to use information received through NetRent only for purposes reasonably connected with the property enquiry and any resulting property discussions or transaction. They must not use it for unrelated marketing without establishing their own lawful basis and complying with applicable electronic-marketing rules.

Once the advertiser receives the information, it is responsible for its own use, security and retention of its copy. Requests concerning information held independently by the advertiser should normally be directed to that advertiser.

NetRent service providers

NetRent may allow limited access to organisations that provide services necessary to operate the enquiry facility, including:

  • website hosting providers;
  • email-delivery providers;
  • website developers;
  • IT support and security providers; and
  • data-storage or backup providers.

Such providers may only use the information to provide contracted services to NetRent and must protect it appropriately.

Other disclosures

NetRent may also disclose relevant information:

  • to professional advisers where reasonably necessary;
  • to law enforcement agencies, courts, regulators or public authorities where legally required;
  • to investigate suspected fraud, misuse or unlawful activity; or
  • to establish, exercise or defend legal rights.

NetRent will not sell your enquiry information.

NetRent will not pass the information collected through this enquiry to an insurance company, mortgage adviser, lender or other product provider unless you subsequently make a separate request for that service and are given the relevant privacy information.

8. International processing

Some organisations that provide hosting, email, security or other technical services may process information outside the United Kingdom.

Where this occurs, NetRent will ensure that an appropriate lawful transfer mechanism and relevant safeguards are in place, as required by UK data protection law. Further information about any international processing should be included in NetRent’s General Privacy Policy.

This section must be checked against the actual locations and contractual arrangements of NetRent’s website, hosting, email and backup providers before publication.

9. How long we keep the enquiry

NetRent will normally retain a Property for Sale enquiry and associated service-contact record for 12 months from the date on which the enquiry was submitted.

After that period, the information will normally be deleted or anonymised.

NetRent may retain relevant information for longer where reasonably necessary to:

  • investigate a complaint;
  • deal with suspected fraud or misuse;
  • comply with a legal or regulatory requirement;
  • resolve a dispute; or
  • establish, exercise or defend a legal claim.

Where information is retained for one of these reasons, it will be kept only for as long as that reason continues to apply.

The property advertiser may retain its own copy under its own retention arrangements.

Data protection law does not prescribe one retention period for every type of record, but organisations must choose, document and justify their periods and delete or anonymise information when it is no longer required.

10. Security

NetRent will use appropriate technical and organisational measures to protect enquiry information against:

  • unauthorised access;
  • accidental disclosure;
  • loss or destruction;
  • inappropriate alteration; and
  • unlawful use.

Access to copied enquiries will be limited to people and service providers who reasonably require access to operate, support, secure or investigate the service.

Although NetRent takes reasonable precautions, ordinary email is not completely secure. Enquirers should therefore avoid including financial, identity or sensitive information in the initial enquiry.

11. Automated decision-making and profiling

NetRent will not use the personal information collected through a Property for Sale enquiry to make automated decisions about you.

NetRent will not use the information to profile you as:

  • an active property investor;
  • a prospective landlord;
  • a mortgage prospect;
  • an insurance prospect; or
  • a potential purchaser of another NetRent product or service.

NetRent may use fully anonymised and aggregated information to understand matters such as the number of enquiries generated by the service. Information used for this purpose will not identify individual enquirers.

12. Your data protection rights

Depending on the circumstances, you may have the right to:

  • ask for confirmation that NetRent holds your personal information;
  • receive a copy of the personal information NetRent holds about you;
  • ask NetRent to correct inaccurate or incomplete information;
  • ask NetRent to erase information where there is no continuing lawful reason to retain it;
  • ask NetRent to restrict its use of the information;
  • object to processing based on legitimate interests; and
  • make a complaint about how NetRent has handled your information.

These rights are not absolute and may be subject to exemptions or other legal requirements.

Please provide sufficient information to identify your enquiry, such as the property address, listing reference and approximate date. NetRent may ask for reasonable evidence of identity before disclosing personal information.

If the enquiry has already been sent to the property advertiser, NetRent cannot automatically delete the advertiser’s independently held copy. You may need to contact the advertiser separately.

13. Data protection complaints

You have the right to make a data protection complaint directly to NetRent if you believe that your personal information has not been handled properly.

Complaints may be sent to support@netrent.co.uk or made through the NetRent Complaints Procedure.

NetRent will:

  • provide a clear means of making a data protection complaint;
  • acknowledge receipt within 30 days;
  • investigate the matter as appropriate;
  • keep you informed where a response is delayed; and
  • tell you the outcome without undue delay.

These requirements have applied to organisations since 19 June 2026 under the Data (Use and Access) Act 2025.

You may also make a complaint to the Information Commissioner’s Office, the United Kingdom’s data protection regulator.

14. Changes to this notice

NetRent may update this notice if the Property for Sale enquiry service, the way information is processed or the applicable law changes.

The latest version will be published on the NetRent website with its effective date.
